Vanguard Digital Marketing currently offers recurring website care and management plans through the following subscription tiers:

Essential Website Care

Includes basic website maintenance, hosting-related management, uptime monitoring, and website accessibility support.

  • $20/month

  • $200/year

Standard Website Management

Includes all Essential Website Care features along with ongoing website edits, content updates, and expanded support services.

  • $49/month

  • $490/year

Premium Website Growth

Includes priority support, expanded website management services, ongoing website revisions, and additional growth-focused digital support.

  • $79/month

  • $790/year

Annual plans are discounted and reflect approximately two months of savings compared to monthly billing.

Domain registration services may be offered separately and are currently billed at:

  • $29/year per domain

Specific deliverables, turnaround times, revision limits, and support availability may vary depending on the selected service plan, project scope, and client needs. Subscription services subject to our Policies & Terms.

Subscription Billing Terms

Vanguard Digital Marketing offers recurring subscription-based website care and management services through both monthly and annual billing options. By enrolling in a subscription plan, clients authorize recurring payments for the selected service tier and acknowledge the billing terms outlined below.

Recurring Billing Authorization

Subscription services are billed automatically using the payment method provided during signup, onboarding, or invoice payment. Clients are responsible for maintaining accurate and up-to-date billing information to avoid interruptions in service.

Available billing options may include:

  • Monthly recurring billing

  • Annual recurring billing at a discounted rate

Annual plans are prepaid and provide discounted pricing equivalent to approximately two months of free service compared to standard monthly billing rates.

Billing Cycle & Renewals

Subscription services remain active for the duration of the selected billing period unless canceled prior to the next renewal date.

  • Monthly subscriptions renew automatically every month

  • Annual subscriptions renew automatically every year unless canceled before renewal

Clients may cancel their subscription at any time prior to the next billing cycle to avoid future charges.

Cancellation Policy

If a client cancels a subscription:

  • Monthly plans remain active until the end of the current billing month

  • Annual plans remain active until the end of the current annual billing period

No additional renewal charges will occur after cancellation is processed.

Once a billing period ends, website-related services associated with the subscription may be suspended, unpublished, disconnected, or removed from active hosting environments if payment is not renewed.

Archived website files or previous designs may be retained at Vanguard Digital Marketing’s discretion for future reactivation requests, though long-term storage is not guaranteed.

Failed Payments & Grace Period

If a recurring payment fails, clients may be provided a grace period of approximately 3–7 business days to update payment information and restore billing status.

During this period:

  • Services may remain temporarily active

  • Support requests may be delayed

  • Website functionality may become limited if payment remains unresolved

If payment is not successfully resolved after the grace period, Vanguard Digital Marketing reserves the right to suspend, disable, or remove services until the account is brought current.

Taxes & Additional Fees

All listed pricing is provided before applicable taxes unless otherwise stated. Clients are responsible for any required sales tax, processing fees, or government-imposed charges associated with services provided under applicable Washington State and federal regulations.

Payment Disputes & Chargebacks

Clients are encouraged to contact Vanguard Digital Marketing directly regarding billing questions or concerns before initiating payment disputes or chargebacks through their financial institution.

Unauthorized chargebacks, fraudulent disputes, or repeated payment reversals may result in immediate suspension or termination of services.

Refund Policy

Vanguard Digital Marketing is committed to providing transparent, professional, and high-quality digital services. Due to the time, planning, and labor involved in website design and ongoing website management, the following refund policies apply to all projects and subscription services.

Website Design & Project Deposits

Website design deposits, setup fees, and project initiation payments are non-refundable once work has begun on a project.

This includes, but is not limited to:

  • Website planning and strategy

  • Design work and development

  • Content formatting and setup

  • Platform configuration

  • Domain or hosting-related setup

  • Initial revisions and project preparation

By submitting payment for a website project, clients acknowledge that Vanguard Digital Marketing reserves time and resources specifically for the completion of that project.

Subscription Services

New subscription-based website care or management plans may qualify for a full refund within the first 7 calendar days of activation, provided that significant work, revisions, or platform-related setup has not already been completed.

After the 7-day period:

  • Subscription payments are non-refundable

  • Partial refunds are not provided for unused time remaining in a billing cycle

  • Annual plans remain active through the end of the paid annual term

  • Monthly plans remain active through the end of the current monthly billing period

Clients may cancel future renewals at any time prior to the next billing cycle.

Domain Registrations & Third-Party Services

Domain registrations, third-party platform fees, hosting-related costs, and external software charges are generally non-refundable once purchased or activated, as these services are processed through third-party providers.

This may include services facilitated through platforms such as:

  • Wix Studio

  • WordPress-related providers

  • IONOS

  • Payment processors

  • Marketing or software integrations

Exceptional Circumstances

Refund requests outside of the standard policy may be reviewed on a case-by-case basis at the sole discretion of Vanguard Digital Marketing. Approval of exceptions is not guaranteed.

Payment Disputes

Clients agree to contact Vanguard Digital Marketing directly regarding concerns related to billing or service satisfaction before initiating disputes or chargebacks with their financial institution.

Website Maintenance & Support

Vanguard Digital Marketing provides ongoing website maintenance and support services based on the client’s selected subscription plan. Support availability, revision limits, response times, and included services may vary depending on the active service tier.

General Support Availability

Support requests may include assistance related to:

  • Website content updates

  • Image replacements

  • Text changes and corrections

  • Basic formatting adjustments

  • General website troubleshooting

  • Platform-related guidance

  • Minor website maintenance tasks

Standard support requests are typically responded to within approximately 2–5 business days depending on current workload, project volume, and request complexity.

During periods of increased demand or larger project scheduling, response times may extend to approximately 5–7 business days.

Clients enrolled in Premium Website Growth plans may receive priority support and faster response times, typically within 24 business hours for standard support requests.

Revision Guidelines

Included revisions are intended for reasonable website updates and maintenance tasks associated with an existing website structure.

Examples of minor revisions may include:

  • Updating text or contact information

  • Replacing photos or graphics

  • Adjusting buttons or links

  • Updating service descriptions

  • Small layout or formatting adjustments

Examples of major revisions or expanded project work may include:

  • Designing entirely new website pages

  • Full website redesigns

  • Structural layout changes

  • Advanced custom functionality

  • Large-scale content migration

  • E-commerce expansions or major feature additions

Major redesigns or expanded development requests may require separate project quotes and are not automatically included within recurring maintenance subscriptions.

Third-Party Platform Dependency

Website services may rely on third-party platforms, software providers, hosting environments, or external integrations including, but not limited to:

  • Wix Studio

  • WordPress

  • IONOS

  • Plugin providers

  • Payment processors

  • External APIs or integrations

While Vanguard Digital Marketing works to maintain reliable website performance and uptime, uninterrupted availability cannot be guaranteed due to potential third-party outages, maintenance windows, technical failures, internet disruptions, or platform-related issues beyond direct control.

Service Suspension

If a subscription becomes inactive due to cancellation or unresolved payment failure:

  • Ongoing support services may be discontinued

  • Website maintenance services may stop

  • Website functionality or visibility may be suspended

  • Hosting-related services may be disconnected or unpublished

Vanguard Digital Marketing is not responsible for losses resulting from service interruptions caused by non-payment, canceled subscriptions, expired domains, or third-party platform failures.

Client Responsibilities

Clients are responsible for providing accurate information, timely communication, and all necessary materials required for Vanguard Digital Marketing to complete requested services effectively and efficiently.

By using services provided by Vanguard Digital Marketing, clients agree to cooperate throughout the duration of the project or subscription service and acknowledge the responsibilities outlined below.

Content & Materials

Clients are responsible for supplying any content, branding materials, or business information they would like included on their website or digital platforms.

  • Logos and branding assets

  • Photos, graphics, or videos

If content is not provided by the client, Vanguard Digital Marketing may use placeholder content, stock imagery, publicly available business information, or generalized formatting until final materials are submitted.

Ownership & Usage Rights

Clients represent and warrant that they own, have permission to use, or otherwise possess the legal rights necessary for all content submitted for use on their website or digital platforms.

This includes:

  • Images and photography

  • Logos and branding

  • Written content

  • Videos or media files

  • Product information

  • Trademarks or copyrighted materials

Vanguard Digital Marketing is not responsible for copyright violations, trademark disputes, licensing claims, or legal issues arising from materials supplied by clients.

Communication & Approval

Account Access & Credentials

Clients may be asked to provide access to third-party platforms, domain registrars, business tools, or marketing accounts when necessary to complete requested services.

Clients remain responsible for maintaining secure access to their own accounts and credentials unless otherwise agreed upon in writing.

Acceptable Use

Clients may not use services provided by Vanguard Digital Marketing for illegal, fraudulent, deceptive, abusive, or harmful purposes.

Vanguard Digital Marketing reserves the right to refuse, suspend, or terminate services associated with:

  • Illegal activity

  • Fraudulent businesses or scams

  • Spam-related activity

  • Malware or harmful software

Failure to maintain active billing for domains, hosting-related services, subscriptions, or external integrations may result in service interruption, website downtime, or loss of associated services.

SEO & Marketing Disclaimer

Vanguard Digital Marketing may provide search engine optimization (SEO), digital marketing guidance, website optimization, Google Business Profile support, advertising assistance, and related growth-focused services intended to improve online visibility and digital performance.

While industry best practices and strategic optimization methods are used whenever possible, Vanguard Digital Marketing does not guarantee specific results, rankings, traffic levels, lead generation outcomes, sales performance, or search engine placement.

No Guaranteed Results

Digital marketing and SEO performance may be influenced by many factors outside the direct control of Vanguard Digital Marketing, including but not limited to:

  • Search engine algorithm updates

  • Market competition

  • Industry demand

  • Geographic location

  • Website age and authority

  • Advertising budgets

  • Client responsiveness and content quality

  • Third-party platform policies

  • Changes made by search engines or advertising providers

As a result, all marketing-related services are provided on a best-effort basis without guarantees of specific business outcomes.

Timeline Expectations

SEO and digital growth strategies often require ongoing optimization and time before measurable results become visible. Clients acknowledge that meaningful improvements in search visibility, website traffic, and digital performance may take weeks or months depending on competition, market conditions, and overall strategy implementation.

Advertising & External Platforms

If advertising or platform-related support is provided through third-party services such as Google Ads, social media platforms, or business directory services, clients remain responsible for any external advertising spend, platform fees, or account-related charges unless otherwise agreed upon in writing.

Vanguard Digital Marketing is not responsible for policy violations, account suspensions, rejected advertisements, algorithm changes, or platform decisions made by third-party advertising or search providers.

Client Participation

Successful digital marketing performance often depends on active client participation, including timely communication, content approval, business responsiveness, and the ongoing accuracy of business information provided for campaigns or website optimization efforts.

Service Suspension & Refusal of Service

Vanguard Digital Marketing reserves the right to suspend, limit, refuse, or terminate services at its sole discretion when necessary to protect business operations, platform integrity, legal compliance, or service reliability.

Grounds for Suspension or Termination

Services may be suspended or terminated for reasons including, but not limited to:

  • Non-payment or unresolved billing failures

  • Repeated failed payment attempts

Non-Payment & Billing Failures

Clients experiencing failed recurring payments may be provided a temporary grace period of approximately 3–7 business days to resolve billing issues.

If payment remains unresolved after the grace period:

  • Website visibility or hosting-related functionality may be suspended

  • Websites may be unpublished or disconnected from active services

  • Access to ongoing maintenance or management services may be revoked until the account is brought current

Vanguard Digital Marketing reserves the right to permanently discontinue services for accounts with repeated payment failures or unresolved balances.

Refusal of Service

Vanguard Digital Marketing reserves the right to decline projects or discontinue working relationships that are determined to be:

  • Outside the scope of offered services

  • Legally questionable or non-compliant

  • High-risk or potentially fraudulent

  • Abusive toward staff or service providers

Portfolio & Marketing Usage

Vanguard Digital Marketing reserves the right to display completed projects, website designs, branding work, screenshots, or publicly available portions of client websites within its portfolio, marketing materials, social media content, proposals, or promotional examples unless otherwise agreed upon in writing.

No confidential business information will intentionally be disclosed without client consent.

Unpaid Work

Any concepts, drafts, mockups, designs, or development work associated with unpaid invoices or canceled projects remain the property of Vanguard Digital Marketing and may not be copied, reused, reproduced, distributed, or transferred without written permission.
